Administrative Assistant

The hiring committee has reviewed Trinity Church’s needs and we have updated our current posting for office manager and changed it to administrative assistant. This role will be a contract position, Mon-Fri 9:00am – 1:00pm, and will be reporting to the Lead Pastor. We have added the duties and responsibilities for this role.


Office/Facility Administration (Required)


  • Manage phone messages and general email in a timely manner
  • Maintain and manage office admin systems, data bases, records and equipment (e.g. files, computers), outsourcing to IT professionals as appropriate
  • Manage contracts and vendor relationships: oversee and coordinate long- and short-term
  • contracts, outsourcing to the Maintenance Worker as appropriate in collaboration with the Board of Trustees
  • Handle insurance claims as needed
  • Monitor and order office supplies
  • As needed, coordinate the set up and take down of the Sanctuary for classes and meetings: move chairs, tables and equipment. (Ministry Leaders will coordinate their
  • own set up and take down)
  • Greet and assist visitors in a hospitable manner


Ministry team support (Required)


Lead Pastor


  • Provide confidential assistance to the full-time pastor, as required
  • Assist with digital filing


Ministry Teams – Community Life; Worship; Children, Youth and Small Groups


  • Provide administrative support to programs of ministry leaders, as required
  • Create online forms


Nice to Have


Internal communications


  • Create, prepare and post content for the TEMC website and social media feeds
  • Post and upload social media content to TEMC website including Facebook, YouTube,
  • Twitter, and Instagram posts
  • Collaborate on the creation of online church publications
  • Advise and collaborate on creation of communication and social media protocols
  • Coordinate Sunday service bulletin communication
  • Coordinate monthly calendar of events communication – printed/digitals
  • Write/coordinate graphics for announcement slides


External communications


  • Prepare/post content to the TEMC website (e.g., sermon videos)
  • Prepare/post content to social media feeds (Facebook, Instagram)
  • Assist with distribution of promotional and educational print materials
  • Write/coordinate/collaborate, copy and prepare graphics for TEMC website
  • Post TEMC position vacancies, as needed
  • Respond to enquiries regarding TEMC communications
  • Collaborate and advise on TEMC’s marketing and communications strategy


Knowledge & Experience


  • Excellent writing skills: the ability to communicate clearly and succinctly; to revise, edit and proofread; to understand the elements of grammar, punctuation, and spelling
  • Experience in and enjoyment of customer service and dealing with the public
  • Demonstrated experience in office administration: filing, data and information management, document preparation, correspondence, and similar work, an asset
  • Excellent computing skills, knowledge of presentation software and MS Office, comfort with learning new in-house software
  • Proficiency with social media platforms and webhosting platforms
  • Excellent organizational and time management skills, ability to meet deadlines
  • Good physical mobility and sufficient strength for lifting up to 40 pounds, required
  • Experience in public relations and marketing, an asset
  • Requirement to apply for and provide a Police Information Check on acceptance of the position
